From the checkpoint to the report
SmartPatrol sits between the guard in the field and the manager who has to answer for the site. Here is the full loop.
1. The round is set up in the console
Each client site is added as a location, pinned to a verified Google Places address and its coordinates. Within a site you define the checkpoints a guard must reach — a gate house, a perimeter fence, a transformer, a loading bay — and print a QR tag for each one.
Checkpoints that need location proof are given a geofence: a point and a radius, placed on a satellite map, set to either monitor only or enforce.
2. The guard scans on patrol
A guard carries an enrolled device — a phone activated with a one-time code and bound to that one site. As they walk the round they scan the QR tag at each checkpoint. Every scan records:
- which checkpoint was scanned, and the exact time
- the device that scanned it
- the device's location, checked against the checkpoint geofence
- any photo, audio or video the guard captures as evidence
3. Exceptions are raised automatically
When a tour ends, SmartPatrol compares what was scanned against what was required. Anything off-pattern becomes an exception that a supervisor has to close:
- a checkpoint that was never scanned before the tour ended (missed checkpoint)
- a scan that landed outside an enforced geofence
- a tour whose duration is far outside the target for the site
- a tour with no guard identity recorded
Each exception carries its own lifecycle — what happened, who was alerted, the action taken, and when it was closed.
4. Managers review and report
Supervisors work the dashboard: active sites, tours recorded, checkpoints missed and devices live, with the most recent tours listed by guard, site and status. Tour detail shows the scan-by-scan timeline, the geofence events and the attached evidence.
For the client, SmartPatrol generates a management report over any date range: a GREEN / AMBER / RED security status, headline metrics (patrol completion, checkpoint coverage, missed checkpoints, open and closed exceptions), the full exception lifecycle table, and a tour register with one row per tour for audit.
5. Clients get a window in
Facility managers can be invited into a read-only client portal scoped to their organisation. They see their own tours and the security tips your team publishes — and nothing belonging to any other client.
